National Center for Education Research (NCER), and National Center for Special Education Research (NCSER) Principal Investigators Meeting
DC Global Planning led the management of the Principal Investigators (PI) meeting as a subcontractor. The conference hosted over 800 educational researchers from across the U.S. It is the single largest annual convening of NCER/NCSER grantees. Our team was responsible for the full scope of the meeting planning from supporting the agenda development, to building the online registration system, to securing the meeting space with the appropriate audio-visual requirements. During the execution, we converted the registration area to the information desk, where staff were always present and could assist attendees with any meeting needs. As a result of our success and accomplishments, over 90 percent of the attendees rated that they were “Very Satisfied/Satisfied” with the overall meeting experience and most aspects of the meeting logistics. The success of the multi-day in-person grantee meetings started with noteworthy project management that created the foundation for smooth and efficient events. Our team met with the U.S. Department of Education to discuss expectations and clarify any unique needs and requirements. To track the various concurrent tasks related to the meeting management, we leveraged key project management tactics such as the implementation of an online project management tool, peer-to-peer reviews, and final quality checks.
National Clearinghouse for English Language Acquisition
As a subcontractor, DC Global Planning led administrative, logistical, and technical support for two meetings and four conference booth exhibits. We provided logistical arrangements and meeting facilitation for: (1) an annual grantee meeting in Washington, D.C. (Directors Meeting); (2) one annual grantee and Title III director meeting in Washington, D.C. (Department Meeting); and (3) four conference booth exhibitions at national conferences throughout the U.S. In coordination with ED, our team secured conference sites and negotiated hotel accommodations as well as food and beverage plans for the attendees. DCGP provided all onsite conference management and coordinated travel for grantees and invited speakers for the Directors Meeting and was responsible for reimbursement and the distribution of honorarium for the invited speakers for the Department Meeting. For virtual meetings, we secured the virtual platform and video engine to stream sessions and provided speaker management in the form of tutorials and rehearsals.

DC Global Planning (DCGP) has been contracted by the NRFC to leverage our team of experienced meeting planners for managing all aspects of event planning and design, program logistics, and post-event reporting.
Our support encompasses the design and execution of both virtual and in-person events, covering everything from program design and outreach strategy to venue and platform selection, speaker management, graphic design, 508 compliance, and materials development.
Project Scope:
Managing over 1,000 attendees across various events, including the National Fatherhood Summit, showcases our ability to handle both large-scale conferences and intimate gatherings with precision. We tailor our approach to meet the unique needs of each event, ensuring flawless execution and high attendee satisfaction. For the 2022 and 2023 virtual events, DC Global Planning managed the full scope of events spanning over a day and a half, with over 1,000 registrants and approximately 650 peak attendees. In response to COVID, we navigated virtual platform options, proposing the best-suited platforms, registration systems, and video engines to provide optimal service and ease of use for attendees.
In addition to securing necessary technologies, we scheduled and held planning calls with a client representative and session presenters to ensure well-coordinated presentations. We provided individual audio-visual checks with each presenter, ensuring quality audio and visual display from their home studios, and familiarizing them with the virtual setting and available technologies. During the virtual events, we operated a virtual help desk, guiding attendees through the process of joining the event, including online telephone support for those new to virtual events. Our technical support extended within the virtual event, offering a virtual green room for final audio-visual checks and run-throughs with presenters.
On the final day of the event, we issued an attendee survey. Post-event, we provided edited videos with closed captions, transcripts, and chat panel comments. We also drafted an executive summary of the survey feedback and a detailed event report, including recommendations, lessons learned, and registration statistics, which we presented at a formal debrief.
Currently, DC Global Planning is organizing the in-person National Fatherhood Summit in Atlanta, Georgia. This includes site selection, negotiating, and securing the venue contract, developing and managing the event website and registration systems, managing the call for proposals process with a blind review, overseeing the exhibit hall and call for exhibitors, and securing related equipment. Additionally, we are designing networking activities, arranging audio-visual and production services, and compiling content for the digital program book, among other tasks.
